About French Medical Institute for Mothers and Children

The French Medical Institute for Mothers and Children (FMIC) was founded in 2006 is a unique public-private partnership between the Governments of Afghanistan & France, a French NGO – La Chaine de L’Espoir/Enfants Afghans and the Aga Khan Development Network through the Aga Khan University Hospital. FMIC embodies a sign of hope for the medical care of children in Kabul. The Institute has risen to the challenge of charting a course towards sustainable health solutions for Afghanistan. It is the first ISO certified hospital in Afghanistan, aiming to provide compassionate, accessible, cost-effective, high quality care services to the population of Afghanistan. Currently the hospital provides 94-bedded inpatient care for Children and adults, including 16 beds for paediatric intensive care, four operation theatres, a department of radiology which includes CT-Scan and MRI capabilities, a state-of-the-art laboratory, a 24 hour pharmacy service and outpatient services for the adult population in medical and surgical specialties. FMIC now offers 17 bed adult cardiac care with a state of art cardiac catheterization laboratory. This year FMIC will also offer 52 new beds for maternal care and a 14 bed neonatal intensive care unit.

FMIC also runs a Postgraduate Medical Education and is considered a training hub for healthcare professionals. Through its eHealth programme, FMIC offers telemedicine and eLearning services to hospitals in Bamyan, Badakshan and Kandahar in Afghanistan and Khorog in Tajikistan.

FMIC is working towards expansion of its health services towards establishing a comprehensive 400 bed Academic Medical Complex in Kabul, which will serve not only the Afghan population but Central Asia as well, as a medical Center of excellence.

Job Summary

Provide secretarial service to the Administrator, Nursing Division which includes communicating messages to the concern departmental heads and other departments of hospital.

Duties and Responsibilities

• Arrange appointments (both in-side and out-side hospital) for the nursing administrator by maintaining master calendar; and rescheduling appointments when conflict arises.
• Follow-Up with Area Head Nurses, Collects forms and documents to get approval and signature of Nursing Administrator in due time
• In collaboration with NES Coordinator, ensure timely data collection and compilation of reports on periodic operation such as:
 Compilation of the goals and objectives
 Compilation of the divisional indicators
 Designing and formatting of the forms and policies used within the division
• File reports and documents and maintains record of nursing division
• Coordinate with Quality Assurance Department for patient complains and incidences pertaining to Nursing, ensure timely closure by concerned Head Nurses and maintain accurate records
• Keeps quality manual of the nursing division updated all the time
• Coordinate with NES and IT for the update of nursing documents on FMIC intranet
• Act as translator when required
• Coordinates the annual leave plans of the nursing management team and submits leave application and duty resumption forms to Human Resource Department in due time
• Maintain the HR related records such as leave records of the nursing management team both online and hard copies
• Develop and distribute the monthly roster of the shift supervisors
• Maintain stationary and office requirements for Nursing Administrator
• Review the MSRs of nursing Division and coordinate in case issue arises
• Raise all purchase requisitions, MSR and NSR for nursing division, follow up with MMD for purchase orders and receiving of items in due time
• Keep records of the requisitions for easy access and follow-up
• Collaborate with Head Nurses to receive capital/operational items with their signature and keeping records for inventory purpose of each area
• Coordinate and arrange meeting of the nursing division and with others as requested
• Computerize minutes and other documents as required by Nursing Administrator
• Take Minutes the meetings and ensure timely distribution of the minutes to the relevant individuals
• Coordinate with professional services for reception of VIP visitors
• Receives and guides visitors
• Maintain the inventory list of the DNS office
• Communicate messages promptly and accurately to concerned person in order to help in the maintenance of smooth flow of the day to day operations
• Answer phone calls promptly and responds appropriately and deliver messages accurately as required
• Utilize communication devices e.g. telephone and email services effectively
• Obtain updated contact numbers of nursing management staff
• Must be regular and punctual on work with > 96% attendance
• Keeps oneself well-groomed and maintains the uniform code at all times
• Participates in professional activities of Division of Nursing Services
• Demonstrates leadership qualities to become a team leader
• Be accessible through phone during off-hours, off-days and leave-days; and discharge duty when called in case of emergency
• Stay long hours when required as per institutional needs
• Take initiatives towards his/her responsibilities
• Maintains confidentiality of the information and documents of the Division of Nursing Services and others documents
• Performs any other related task as assigned by supervisor

Qualifications

• • Minimum 12th grade graduate
• Bachelor in Business Administration is preferred
• Certification in relevant courses such as excellent service, telephone courtesy, computer skills, English writing etc.
