Job Summary

The Administration/HR Head is responsible for the overall management, administration and planning of administrative and HR affairs. He/she monitors the admin, human resources, and procurement/logistic activities of ATVI, and ensures the proper support and implementation of the strategy for achieving the goal of providing quality education and training. He/she is responsive to the orders issued by the ATVI President, Admin and academic deputies on all admin project related issues and prepares reports as needed. He/she coordinates all admin-finance related activities with the Finance Manager. The details of duties and responsibilities would be as follows:

Duties and Responsibilities

. Manage, monitor and supervise all the supporting staff of ATVI
2. Maintain personnel files for all the academic and non-academic staff working for the Institute
3. Arrange for the recruitment of all the administrative and supporting staff in association with the ATVI President
4. Organize the procurement and supply of materials, tool kits, equipment, stationery and furniture etc., requested by different departments of the Institute
5. Plan and organize the transportation system for the employees
6. Plan and organize the maintenance of Institute environment and all logistic issues for boarded and non-boarded students considering high standards of sanitation and hygiene
7. Keep an updated inventory of all equipment, furniture, property and goods belonging to the Institute
8. Maintain an orderly system of files and records for the employees, correspondence, reports and contract related documents
9. Ensure that everything is available before it is needed
10. Administer, supervise, and motivate the administrative, logistic and building maintenance personnel to ensure a highly motivated and efficient staff
11. Recruitment of ATVI admin/finance staff in coordination with and approval of ATVI President
12. Performance and career management and supervision of ATVI staff to motivate and promote organizational excellence
13. Play an active role in the recruitment of ATVI core programs and projects personnel
14. Manage all procurement contract related activities of ATVI
15. Implement procurement activities at all stages of the procurement cycle In accordance with the procurement procedures of ATVI
16. Control and review quality and consistency of all documents
17. Ensure that Institute’s requirements are supplied on time and procurement rules and regulations are applied transparently and properly
18. Provide financial advice and seek guidance of the ATVI President on all critical matters concerning the personnel, strategic direction, program and operations of ATVI
19. Maintain confidential files on all contracts
20. Coordinate payments and other remittances for subcontractors with Finance Manager
21. Manage petty cash expenses allocated monthly for daily operation, inventory control and log books
22. Monitor and coordinate daily operating cash flow with Finance Manager, and ensure that sufficient funds are always available for daily operation of different programs and tasks
23. Any other task related to Admin/HR of ATVI

Qualifications

• MBA with specialization of HR or minimum Bachelor’s Degree in Business administration, management, or its equivalent from a recognized university,
• Excellent interpersonal skills, decision maker, goal oriented, polite and highly honest person
• Background and experience in administrative, managerial and financial work
• Excellent managerial, supervisory and administrative skills
• Excellent communication and people skills, team player and works well under pressure
• Remarkable leadership skills, integrity and ability to work independently
• Excellent organizational and analytical skills
• Should be very patient, tolerant, punctual, diligent, alert, and responsive
• Capacity to respond effectively and efficiently in a highly demanding situation
