Job Summary

The Admin/Logistics Officer will be responsible to manage administrative and logistics affairs for the FINCA Afghanistan program, including managing offices and facilities, attendance, security, travel and transportation, mailing and filing. The Admin/Logistics officer will assist with day to day clerical tasks and provides administrative support at the HQ. He or she will be responsible for taking and distributing minutes of management meetings and other meetings, drafting memos, letters, translation and other tasks as advised by the Administration and Logistics Manager.

Duties and Responsibilities

Administrative
Be responsible for the registration of all correspondences incoming and outgoing related to the management
Provide day to day personal administrative support to the Admin/Logistics Manager and Country Director
Assist Admin/Logistics Manager and/or Country Director with basic administrative duties such as, printing, photocopying, scanning, filing, faxing, data entry, etc.
Assist with translation of documents (Dari-English, English-Dari)
Create and update administrative and logistics forms on both hard and soft copies (paper and diskette) and make sure that all FINCA – Afghanistan Offices are provided with updated and new forms.

Logistics

Assist in making flight reservation, passport and visa requests for FINCA Afghanistan senior staff members and work in close contact with Administration department and travel agents to prepare all travel documents and follow up
Ensure that travel arrangement for all international and national staff, both within country and oversees are being processed and arranged efficiently.
Coordinate and manage Country Director’s external and internal meetings with FINCA staff and visitors/donors in a timely manner, including communication with FA drivers

Record Keeping

Assist in creating and maintaining a proper filling system for the management
Keep all FINCA manuals updated by reflecting reviews and changes to the policies and procedures
Maintain/prepare parcel & logging and keep records of in/out letters
Be responsible for taking minutes of meetings and distributing minutes to all relevant staff members

HQ Coordination
Receive and look after all visitors to the Headquarters in a friendly manner
Communicate & follow up all administrative issues related to the HQ with administration department
Facilitate sharing of information from the Country Director to the Regional Managers and FA Heads of departments
Make sure that all official communications to outside organizations (government bodies, media, NGOs, private companies, etc) are passed via or approved by the Country Director and Admin/Logistics Manager

The Admin/Logistics Officer may be asked to perform other tasks not listed in this job description but are reasonably associated to the position. The Administration and Logistics Officer must show initiative and complete all tasks assigned by his/her supervisor promptly and to the standard expected. The Administration and Logistics Officer must be able to work independently when asked and take initiative to solve problems without being asked. The Administration and Logistics Officer must do her/her job without being reminded of routine tasks or requests made by the supervisor.

Qualifications

University degree in economics, finance, management, business, administration or related field
At least two years of administrative and clerical work experiences with an international organization or company
Proficiency with MS Windows based Office and Network systems (administration experience)
Fluency in Dari and Pashtu languages
Fluency in English language
Ability to translate from Dari to English, and English to Dari
Excellent communication skills
Experience in computers, accounting software and spreadsheet applications
Accuracy, attention to detail, commitment to transparency
Ability to learn quickly, strong self-training readiness
Ability to work well in a team
Ability to work well under pressure and adhere to deadlines
Ability to problem solve and offer creative solutions to improve the efficiency of FINCA Afghanistan administration and logistics procedures
Experience working with senior level members of a company and/or organization
Positive attitude and strong work ethic
